The Hospitality Coordinator is responsible for arranging a broad range of receptions, parties and dinners across the Festival, ensuring that guests are able to make the most of their time in Edinburgh. This involves negotiating with internal and external stakeholders to organise and coordinate these events, negotiating hospitality requirements, organising dinners, parties, drinks receptions and sightseeing activities around the Edinburgh area, as well as managing guest lists and invitations/RSVPs. Responsibilities will also include managing and scheduling grooming for VIP guests, preparing and disseminating the schedule of hospitality events and managing information through the Festival’s database, as well as other event preparation requirements, introducing guests to relevant people and making sure they feel acknowledged and welcomed.

The successful candidate will be an experienced professional who is a people person, outgoing and relaxed in social situations and happy to have responsibility for introducing people to each other. Uses diplomacy and tact to manage difficult interactions and is comfortable in varied situations. An organiser with a hands-on approach with meticulous attention to detail, sees things through, works well in a team, and loves live event management. The ability to efficiently manage large quantities of data, which is frequently subject to change, is essential. Previous film industry experience and a good understanding of the industry and the varied people that are involved would be an advantage in this role. Successful candidates will remain calm under pressure, have excellent customer service and communication skills. A willingness to work long and often unsociable hours in line with the requirements of the role is essential.
